What You'll Do

We are seeking a detail-oriented Engagement Operations Specialist II to join our Buffalo, NY office. In this role, you will work closely with the Tax team, providing essential operational support throughout the year. You will collaborate closely with members of the business to streamline processes, ensure accuracy, and help optimize efficiency in the delivery of client services. 

 

This role will directly support the Tax team. Responsibilities will shift throughout the year depending on business cycles and include: 

 

Client Documentation & Correspondence 

  • Prepare engagement letters. 
  • Format, process, and finalize electronic engagement letters and correspondence using DocuSign. 
  • Prepare and finalize Power of Attorney forms. 

 

Tax Return Processing & Filing 

  • Electronically collate and process tax returns using Adobe Acrobat (Client Copies, Filing Copies). 
  • Send eFile Authorization forms via DocuSign. 
  • Create, upload source documents, and finalize SurePrep binders. 

 

Project & Meeting Support 

  • Create, format, and finalize family meeting books and organizational charts. 
  • Provide project support and assistance to the tax service line. 
  • Handle additional projects as assigned. 

 

Data & Document Management 

  • Enter and review data for accuracy in firm internal systems. 
  • Manage and track electronic documents and information. 

Who You Are

Requirements & Qualifications 

  • 3–5 years of prior experience in a business operations role. 
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Adobe Acrobat. 
  • Proficiency in Salesforce or other CRM systems. 
  • Strong attention to detail with the ability to manage day-to-day workflows independently or collaboratively. 
  • Proven ability to meet project expectations and deadlines. 
  • Strong analytical and problem-solving skills. 
  • Ability to understand and manage client deadlines, escalating to a manager when necessary. 
  • Comfortable working in a fast-paced, deadline-driven environment. 
  • Effective communication skills across all levels of the firm. 
  • Ability to learn in a hybrid setting, including virtual trainings. 
  • Flexibility to work overtime during peak periods (some evenings and Saturdays).

Estimated Salary Range:  $45,000-55,000
